Summer Camp Policies PDF Print E-mail

Tuition: Upon enrollment, a deposit of $500 (per session) will be paid to Circle F Dude Ranch. All fees are due and payable in Full by May 1, unless other arrangements have been made. Unpaid balances are subject to 1.5% per month late fee. Registrations after May 1st should include payment of full tuition. Online payment can be made with either Visa or MasterCard. For international campers, payment can also be made via bank wire.

Tuition covers room and board, supervision, basic programs, program supplies, a camp T-shirt, and sickness and accident limited/secondary insurance, which provides up to $1000 coverage on sickness expenses, and up to $25,000 of secondary coverage beyond those limits are the responsibility of the parents. There are no sales or tourist tax on summer camp tuition.

Cancellations and Refunds: In case of cancellation before April 1, a refund of $300 will be given, plus fees paid to the camp. After April 1, the full deposit is forfeited. There will be no reduction or refund of fees for campers sent home for behavioral problems, home sickness, non-adjustment to the camping experience or late arrival or early departures. No refund is available for discontinuation of the camp season due to acts of God, natural disaster, acts of war or epidemics. Refunds when issued for medical reasons will be pro-rated at a rate of $50.00/day.

Refunds due to medical reasons prior to the start of camp may be given of up to 75% of the balance after deposit discretion of the Camp Director. A letter from the camper’s physician must accompany a written request for this refund.

Refunds for all other reasons prior to the start of camp will be given up to 50% of the balance after deposit as determined by the Camp Director.

Additional Expenses: Camp Store account: we suggest a deposit of $25 per week for a camp store account. This covers personal spending money for items purchased at the camp store such as film, postage, stationary supplies, toiletry items, sweatshirts, and limited drinks and food items. Due to administrative costs, remaining balances of less than $10.00 will not be refunded. Bill will be sent if amount owed exceeds $10.00. Campers may not store personal cash in their cabins.

Laundry: Campers are provided a wash, dry, fold service. Campers’ clothes are laundered at least once per week. Clothing must be well marked to prevent possible mix-up or loss. Additional cost for laundry is $15 per week. Use of laundry bags is included.

Visitation: If you feel it necessary to visit your camper, please call the director to make arrangements. Through years of experience we have found that visitation can be disruptive to a camper’s experience, therefore, we do not provide a specific time for visitation during any of our sessions.

Phone Calls: If it is necessary to call, meal times are the best time. The director will NOT give permission for campers to use the telephone to call out of camp unless it is absolutely necessary. The camp telephone number in Lake Wales is (863)676-4116. Parents are asked not to jeopardize the success of your camper’s experience by making unnecessary phone calls. One per week is the suggested maximum if you feel it necessary to call.

Acknowledgement/Camp Forms: Upon enrollment, you will be sent an acknowledgement package. You will receive a package of forms including activity selector, a suggested list of items (clothing, etc) to bring to camp, medical form (examination is required prior to arrival at camp), and other pertinent information.

Travel to Camp: Located 6 miles west of Lake Wales, Florida, off Highway 60, Circle F is easily accessible by car. Campers traveling by plane will be met and transported to camp for a charge of $75 per camper per trip from the Orlando International Airport. We assume that all campers will arrive by car unless notified otherwise.

Accidents/Illnesses: Circle F is proud of our excellent health record of the past 55 years. We practice SAFTY FIRST, always and everywhere. However, the camp does not assume responsibility for accidents and illnesses. The camp provides limited/secondary accident and illness coverage for each camper.

Counselors-In-Training: Opportunity for leadership training is given each summer to our 15 and 16 year old campers. However, they cannot join our staff until after one year of college.

Letter Writing: Writing home is at the discresion of the camper. It is mandatory that campers be supplied with stamped, addressed envelopes. Counselors will help with letter writing skills if necessary.

Climate: Our climate is rather ideal for camping. Regular Florida summer clothing is adequate. Our days are warm, but pleasant and the nights are cool.

Special Conditions: If you child has special needs, please call us prior to enrolling. Children who are habitual bed-wetters cannot be accepted as campers. It is not fair to the child, other campers and counselors. We also do not have the facilities to accept children with severe learning disabilities or children in therapy for emotional problems.

Smoking/Drugs/Alcohol: Campers who smoke, use drugs or alcohol will not be tolerated in camp. If campers are found with such items in their possession, they will be immediately dismissed. All Circle F Staff is subject to the same rules and these are enforced rigorously.

Food Packages: Campers are supplied with plenty of appetizing and nutritious food. They are NOT allowed to have food packages sent in or brought to them. Any food packages arriving at camp will not be delivered. Birthday cakes are provided by the camp free of charge.

Loss of Equipment: Personal Articles & Clothing: The camp is not responsible for loss of personal articles or clothing by theft, carelessness of camper, or other causes.

Tax Deductible: In some cases summer camp may be tax deductible as child care. Please consult your tax professional.

Photos: Photos may be taken of your camper for promotional or other use. By completing this application you give permission for the commercial use of all photos taken of your camper.
